Call for Vendors

Calling all creatives! We're hosting a holiday market at the 2024 Saskatoon Festival of Trees on:
  • Friday, November 22 | 9:00 am to 9:00 pm
  • Saturday, November 23 | 9:00 am to 9:00 pm

We're seeking talented designers, creators, crafters, artists or makers of Saskatchewan made products. For two days only, the holiday market will be featured at the Festival of Trees in the event hall at the Western Development Museum. Holiday market admission will be included with Festival of Trees admission.

How It Works

Traffic of 1,000+ attendees is expected at the Festival of Trees each holiday market day. Holiday market advertising will take place via Instagram, Facebook, website and email promotion.  

Vendor exhibit price is $350 (limit of one business per booth). Vendors will receive:
  • 10ft wide x 8ft deep booth
  • 1 x 8ft table (if requested)
  • 2 x chairs (if requested)
  • Included in holiday market website listing
  • Maximum of 2 vendor ID's (vendor ID's can be used to view the Festival of Trees during the holiday market)
  • 2 x general admission passes to the Festival of Trees (to use as promotion/giveaway on your social channels)

Vendors must:
  • Be the designer, creator, crafter, artist or maker of Saskatchewan made products
  • Complete an online Vendor Application
  • Include a website, Facebook or Instagram link that provides photos of your products when completing the application
  • Include a business bio (used for promotion) when completing the application
  • Provide all items necessary to set up your booth and sell your items (i.e. step stool, table linen, displays, shelving, point of sale system, etc.)
  • Have your booth open & staffed 9:00 am to 9:00 pm on Friday, November 22 & Saturday, November 23 (the Festival of Trees is cashless so we recommend using debit/credit or etransfer to complete sales)
  • Take down your booth immediately following the close of the holiday market on Saturday, November 23 at 9:00 pm (the room needs to be reset that night for an event the following morning)

Important Dates

  • August 15, 2024: Deadline for vendors to complete their online application
  • August 30, 2024: All applicants will be contacted. Please be patient. We will work as quickly as possible and update you via email as soon as vendor decisions are made.
  • November 21, 2024 | 4:00 pm - 7:00 pm: Vendor set up in Saskatchewan Hall at the Western Development Museum
  • November 22, 2024 | 9:00 am to 9:00 pm: Holiday market booths open
  • November 23, 2024 | 9:00 am to 9:00 pm: Holiday market booths open
  • November 23, 2024 | 9:00 pm to 10:00 pm: Holiday market take down (must be completed as quickly as possible as the room will be reset that night for an event the following morning)

Additional Info

  • If you have been selected as a vendor for the holiday market, you will be sent an invoice with details on how to pay
  • Do not submit payment until your invoice has been received
  • Included with your invoice will be an attached contract to agree to our 2024 Terms and Conditions - Saskatoon Festival of Trees Holiday Market
  • Invoices must be paid and signed contract(s) must be returned within 72 hours of receipt to hold your spot. Space is not reserved until payment is received. If payment and contract(s) are not received within 72 hours, the Festival of Trees can/will move on to the next interested vendor.
  • Payments options include:
    1. E-transfer (details will be on the invoice). Preferred payment method.
    2. Credit card (details will be on the invoice). All credit card payments will have a 3% fee added to them.
  • Once payment and signed contracts(s) are received, you will receive an email receipt. Please keep this receipt for your records. Please allow up to 48 - 72 hours for this confirmation. Your registration is not confirmed, and your booth is not held until payment is received in full and all required contracts are signed.

Terms and Conditions

  1. Application: Application for holiday market booth must be made through the online form provided by the Saskatoon Festival of Trees containing the information requested and be executed by an individual who has authority to act for the vendor.
  2. Vendor booth price: The price for each booth is $350.
  3. Payment Dates: No booth will be guaranteed until the Saskatoon Festival of Trees receives full payment along with a signed contract.  If full payment, and contract, are not received within 72 hours of receiving the invoice the Saskatoon Festival of Trees will move on to the next interested vendor.
  4. Cancellation of your participation: If you can no longer participate in the market and we have issued you a contract, cancellation fees will apply.  If you cancel your participation up to 60 days prior to the first day of the market, you will receive a refund of 50% of your total payment.  If you cancel less than 60 days prior to the first day of the market, there will be no refund of any payment.
  5. Cancellation of the holiday market: Should the market be cancelled for any reason; we will issue a full refund of your payment.
  6. Market booth: A 10 ft wide by 8 ft deep vendor booth will be provided for each vendor.  An 8ft table and 2 chairs will be available for each booth if requested through the online form. Each booth will be furnished with draped material and a booth identification sign. No part of the vendor display, including products, is permitted outside of the market booth space.
  7. Conduct of exhibits: The advertisement and display of goods or services other than those manufactured, distributed or sold by the vendor in the regular course of business and identified in this contract is prohibited. 
  8. Liability:  Under no circumstances shall the Saskatoon Festival of Trees, or their respective affiliates, be liable to the vendor for any lost profits or any indirect or consequential damages, including, but not limited to, incidental, special, or punitive damages whatsoever, whether or not such damages were reasonably foreseeable.
  9. Installation/Dismantling: All vendor booths must be set up and operational by 7:00 p.m. on November 21, 2024. Assembly of the booth during regularly scheduled market hours will not be permitted.  The official closing of the market is 9:00 p.m. on November 23, 2024.  All vendor material must be packed and ready for removal from the area no later than 10:00 p.m. on November 23, 2024. Charges will apply to any vendor who violates this condition.
 
  • Market set-up: November 21, 2024, 4:00 p.m. - 7:00 p.m.
  • Market hours: November 22 and 23, 2024, 9:00 a.m. - 9:00 p.m.
  • Market take-down: November 23, 9:00 p.m. - 10:00 p.m.
10. Assignment of space: Vendor space for the event shall be assigned by the Saskatoon Festival of Trees in its sole discretion.  The Saskatoon Festival of Trees reserves the right to change any aspect of the floor plan (including, but not limited to, size, shape and orientation) or to move a vendor to another similar size booth location prior to or during the event for any legitimate reason, in the Saskatoon Festival of Trees’ reasonable discretion.  Vendors may not assign, sublet, share or license all or any portion of its vendor space with any third party.
